Email Address Criteria

The text stored in the criteria field of Email Address Menu Items is used to find Outlook items that contain a specific email address.  This is done by searching the "To", "From", "CC" or "BCC" address fields in Outlook items for names or addresses that match criteria stored in the Menu Item.  For more information on how Categorize Plus uses Email Address Menu Items to filter and search Outlook items, then please refer to the Email Address Filter and Email Address Search help topics.

Entering Email Address Criteria

There are two options for entering criteria in Email Address Menu Items when using the Menu Builder.  Email Address criteria can be entered directly into the criteria field or the criteria can be selected from the criteria drop down list that is shown in the illustration below.  The Email Address criteria drop down list includes a complete list of all the Email Address criteria currently contained in the loaded menu file.  In addition, either individual names or full email addresses can be entered as criteria.

Multi-Criteria Email Addresses

Names or addresses that include a space or a comma are treated as a multi-criteria Email Address.  A multi-criteria Email Address functions as a single item when filtering and searching Outlook items.  Just like with multi-criteria Category Tags, it is the unique combination of all of the criteria together that is meant to define a multi-criteria Email Address Menu Item.  Therefore, when filtering and searching, then each criteria in a multi-criteria Email Address is first joined by a logical AND conjunction and then enclosed in parentheses before Categorize Plus combines the criteria with other filters or searches.

For example, a multi-criteria Email Address that has menu criteria equal to "John Smith" will be configured as OR ("John" AND "Smith") when the OR logical operator is selected in the combo box drop down list after the Filter Combo Box  or Search Combo Box is added to the Categorize Plus Toolbar.  This behavior is different from Group Filters and Group Searches.  Please refer to the Group Filters and Searches help topic to learn more about the behavior of Group Filters and Group Searches and how they differ from multi-criteria Menu Items.  In addition, please refer to the Modify Filter and Search Combo Boxes to learn how to modify the logical operator of a Filter Combo Box after it has been added to the Categorize Plus Toolbar.
